Office Assistant/Cleaner

This position will support office operations by serving African Wildlife Foundation and Ethiopia Wildlife Conservation Authority Project Staff as well as external customers, assisting with errands, maintaining cleanliness, performing clerical duties and other routine administrative functions in AWF’s established office in Debark, Ethiopia.

Key Duties & Responsibilities

  • Ensure all visitors are well received and attended to as well as ensuring the front office is kept clean and tidy.
  • Facilitate courier services for outgoing mail/parcels and ensure efficient tracking.
  • Track and facilitate clearance of incoming mail/parcels.
  • Work with the supervisor to coordinate the use of meeting rooms and organize the provision of catering services as requested.
  • Work with the supervisor to ensure staff receives the necessary support in planning field/business trips. This includes making flight and hotel reservations as well as processing visa applications as required.
  • Wipe the dust from chairs, tables, computers, printers and other equipment, doors, windows, using a tissue, water, and a soap product.
  • Verify copy/printing areas to assure all supplies are available and in proper order: reams of paper, transparencies, A4 card stock paper, spiral bindings, large, medium, and small binders, paper folders, plastic folders, staplers and staples, hole punches, paperclips (large, medium, small), document clips (large, medium, small) pens, pencils, erasers, highlighter, white-out, scotch tape; verify areas a second time around lunchtime.
  • Ensure availability of hot water, coffee, tea, milk, and sugar in the kitchen/s for staff, consultants, and visitors from 8:30 AM to 5:30 PM each day.
  • Wash and put away kitchen utensils; clean refrigerator as needed.
  • Remove spiders, once a week, on all the walls and ceilings.
  • Clean toilet and ensure that there is water permanently in the toilet rooms.
  • Assist in the organization of meetings, seminars, and trainings.
  • Act as the receptionist when needed, receiving and directing all incoming calls, greeting visitors, and notifying staff of their arrival; collecting and distributing external mail and faxes, as well as receiving deliveries.
  • Assist with copying and binding of material as requested as well as handle miscellaneous administrative or clerical support to staff as requested.
  • Water plants as needed.
  • Clean glass windows as required.
  • When heavy rain starts, check the building for open windows; close windows in empty offices; mop office areas where water has entered.
  • Identify and report office problems (ie. broken locks, water leaks, etc.).
  • Carry out any other tasks as required.
  • Given the nature of this role, the work will commence at 8.00 AM.
